YOUR INFORMATION. YOUR RIGHTS.

Privacy Policy

How Good Road HGV handles information when you visit our website or get in touch.

Who we are

Good Road HGV is a Scottish-based, sole-trader platform sharing HGV learning resources, practical driving experiences and community updates. Good Road HGV is the data controller for the personal information described in this policy. Our website is goodroadhgv.co.uk. For privacy questions or requests, email hello@goodroadhgv.co.uk.

What information we collect

When you email us, message us on WhatsApp or contact our social accounts, we receive the details you choose to share. These may include your name, email address, telephone number, profile name, message, attachments and correspondence history. Public comments and interactions on our social accounts may also be visible to us and other platform users.

When you visit the website, our hosting and security services may process technical information such as your IP address, browser and device details, requested pages, dates and times, and error or security logs. This helps deliver and protect the website.

The website currently provides information and external links. It does not offer visitor registration, public website comments, file uploads, an online shop or a website newsletter sign-up. Please do not send driving-licence copies, bank details, medical information or other sensitive information unless we have agreed a necessary and appropriate way to receive it.

Why we use information and our lawful bases

Enquiries and community messages: we use contact details and correspondence to answer questions, consider ideas and collaborations, and manage our communications. We rely on legitimate interests in responding to people who contact Good Road HGV and running the platform. We consider your rights and expectations when using information for these purposes.

Website operation and security: we process technical information to deliver pages, diagnose problems and prevent misuse. We rely on legitimate interests in operating a reliable and secure website.

Potential agreements: if you ask us to take steps towards an agreement with you, we use information needed for those steps on the basis of entering into or performing a contract.

Legal requirements: where a law requires us to keep or disclose information, we rely on legal obligation. If we ask for consent for a specific optional use, we explain that use separately and you can withdraw consent at any time without affecting earlier lawful processing.

You can browse without sending us a message. Providing contact details is voluntary, but we may be unable to answer an enquiry without enough information. Contacting us does not automatically subscribe you to marketing. We do not sell your personal information or make solely automated decisions about you with legal or similarly significant effects.

Email, WhatsApp and social links

Email sent to hello@goodroadhgv.co.uk is handled through Proton Mail. Proton AG provides the email service; its Proton Mail privacy policy explains its processing.

The WhatsApp messaging link opens a conversation with Good Road HGV on WhatsApp Business. We receive your message and the contact or profile details WhatsApp makes available to us. You choose whether to send the suggested message. Following our WhatsApp Channel is separate from sending us a private message.

Links to YouTube, Instagram, TikTok, Facebook, LinkedIn, X, Bluesky, Pinterest, Snapchat, Reddit, Substack, Quora, Twitch, Discord and WhatsApp take you to external services. Those services process information under their own privacy policies and account settings. Review them before joining, following or sharing information. Our use of messages and interactions that we receive is covered by this policy. Public posts and community messages may be visible to other people.

Cookies and similar technologies

Cookies are small files stored by your browser. WordPress and hosting services can use necessary cookies for functions such as secure administration and sessions. WordPress login cookies apply when an authorised administrator signs in; visitors do not need an account to read the website.

Google Analytics is not currently connected through the website’s MonsterInsights plugin. Our social buttons are links to other services. Cookies and tracking on those services are governed by their own policies.

You can manage or delete cookies in your browser settings. Blocking necessary cookies may affect some functions. If we introduce optional analytics, advertising or embedded media, we will update this information and provide the consent or objection controls required by law before using those technologies.

Who receives information

We use Bluehost (part of Newfold Digital) to host and operate the WordPress website, and Proton Mail to handle business email. They and their relevant service providers process information needed to deliver those services. WhatsApp and social platforms also process information when you use their services.

We may disclose relevant information to professional advisers where needed to deal with a complaint or legal matter, or to authorities where required by law. We limit disclosures to what is necessary for the purpose.

Processing outside the UK

Our service providers operate internationally. Bluehost/Newfold services may involve processing in the United States and other countries. Its privacy notice and data processing addendum describe international processing and contractual protections, including the UK Addendum to the EU Standard Contractual Clauses for relevant transfers.

Proton AG is based in Switzerland. Its privacy policy and data processing agreement explain its processing and safeguards. Where we are responsible for a transfer outside the UK, UK data-protection transfer rules apply, including recognised adequate protection or appropriate contractual safeguards where required. Contact us for more information about the safeguards relevant to your information. External social services describe their own international processing in their privacy policies.

How long information is kept

We keep enquiry messages and contact details while handling your enquiry and any related follow-up. We assess whether a record is still needed by considering whether the matter is resolved, whether there is an ongoing relationship, and whether information is necessary for a complaint, dispute or legal requirement. We delete information when it is no longer needed for those purposes.

Technical logs are kept according to hosting and security-service retention settings and for as long as needed to diagnose problems or investigate misuse. Copies in backups may remain until the backup cycle expires. Social platforms also apply their own retention rules to information held by them. Contact us if you would like details about a particular record.

Protecting your information

We restrict access to business correspondence and website administration to those who need it, and use the security features of our hosting, email and communication services. No internet service can guarantee complete security. Please share only information necessary for your enquiry.

Your data-protection rights

Depending on the circumstances, you can ask for access to your personal information, correction of inaccurate details, deletion, restriction of use, or a portable copy. You can object to processing based on legitimate interests, and withdraw consent where we rely on it. These rights have legal conditions and exceptions.

Email hello@goodroadhgv.co.uk to make a request. We may ask for proportionate information to confirm your identity. We normally respond within one month; if the law allows extra time, we will explain why. There is normally no charge.

Questions and complaints

Please contact us at hello@goodroadhgv.co.uk if you are concerned about how we use your information. You also have the right to complain to the UK Information Commissioner’s Office through ico.org.uk/make-a-complaint.

Changes to this policy

We will update this policy when our website or data practices change, including before introducing shop, newsletter or other new features. The date below identifies the latest version.
